The CCiTUB accelerates the digitalization of management processes in the COVID context

One of the main issues that the situation created by COVID-19 is highlighting is the need to ensure that entities are prepared to act in a digital environment.

In this context, and bearing in mind the need to quickly adapt to new recommendations from the health authorities and, at the same time, guarantee the maximum provision of service, the CCiTUB has been working throughout the year to accelerate their digitalization project carried out by the IT Unit in collaboration with all the technical and management units of the Centers.

Among these measures, a new online procedure has been launched for registering users of the Centers, which replaces the paper forms that were being used. The new form will allow to avoid not strictly necessary presence at the Centers and mobility of both users and administrative staff and allowing these administrative processes to be carried out by COVID-19 especially vulnerable people as well. In addition, it will reduce waiting times and errors that handwriting may produce.

The form, which is currently accessible from Users section in the CCiTUB website, facilitates the user registration process by unifying various PDF forms in a single online form that already considers all the casuistry. To facilitate internationalization, users will be able to choose between three languages, Catalan, Spanish and English. After filling all fields in the form, users will receive by email a document they can digitally sign and return by email to the Management Unit in order to finish the registration process.

The elaboration of the form has required coordination of a multidisciplinary group in which they have collaborated, along with the IT Unit, the Management Area, the Agency of Quality of the University of Barcelona, the Data Protection team of the UB and the Equality Commission of the CCiTUB.

In the development of this project, SGA and SAP economic-financial requirements have been integrated, the CCiTUB activity management app and the University accountant app respectively. It also counts with the approval of the General Secretary's Office about RGPD and of the Research Quality Service about ISO requirements. The work has been reviewed by the Equality Commission with gender perspective.

This project joins the University of Barcelona digital transformation and it is aligned to the ecological transition of the 2030 Agenda (Sustainable Development Goals – SDG) as it helps in reducing the environmental impact by reducing the use of paper in the Administration, saving resources and promoting the digital environment.
